It seems there is a national day for everything and today is Computer Security Day. As we’re a software company, we wanted to talk about some important ways for recruiters to keep their data safe – after all your agency is based on people’s data so you’ve got to invest in the best tech you can to keep it safe.  

Don’t worry – this isn’t a highly techy post. We’ve talked to the Evertime technical team and they’ve promised to keep this blog article simple to understand with some clear direction about what you need to do to make sure you’re keeping your recruitment agency cyber-safe.  

  1.  Have a policy for strong passwords

So many of us are guilty of having one password for everything and I bet many recruitment agencies are the same.  However, using the same password across multiple platforms will increase the chance of it being hacked. A few tips to implement straight away:

  • Use password management software to keep track of your passwords. We use  Last Pass at Evertime – if you set this up it’ll work across your PC, laptop, smart phone and tablet.
  • Make sure your passwords are strong – a mixture of upper and lower case, digits and symbols. Did you know that 123456 and password have been the most popular passwords for years?

Evertime enforces good password protocol, which includes a long, complex password with a mix of digits and symbols. And our 2020 roadmap includes two factor authentication, which means you’ll be given another set of credentials to add in when you log in.

2.  Make sure your tech is safe

Make sure you update your Spyware and Malware protection and ensure that it covers all devices including PCs, laptops, smart-phones and tablets.  

  • Weak security around your WIFI and using cloud-based services with weak passwords will all put your recruitment agency in a vulnerable position.

Evertime is hosted on the Microsoft Azure platform. Without going too techy, this platform has one of the most enhanced levels of encryption possible, which is reassuring for any users of software. This means that it is one of the safest places to store people’s personal data. 

We also use a system called ‘The Cabinet’ which means data is safely exchanged between users of Evertime. Through this system, personal data is never sent over email and we don’t run the risk of commercial data being emailed to the wrong recipient.  

  1. Hire a cyber security expert

Tech is complicated and it’s not everyone’s strong point. To make sure Evertime is as secure as it possibly can be, we work with a 3rd party software testing company to make sure the software is as secure as possible.   1. Make sure you’re GDPR compliant

We don’t like to keep talking about GDPR, but keeping your candidate and client’s personal data safe is fundamentally important for any quality recruitment agency.  Taking this seriously will make sure you don’t fall foul of the ICO and more importantly build trust with your clients and candidates. 

Evertime is brilliant in that it integrates with various software products, including Bullhorn, Xero, Sage and Firefish.  This means that data is passing between various systems, so keeping it safe as it moves between systems is crucial. Here’s a few slightly techy things that we do to keep your data safe:

  • Data can be sent through FTP

FTP means File Transfer Protocol. It’s an encrypted (safe) way to upload data to Evertime, for example when you set up with us, we can upload your Excel data to Evertime through an FTP

  • Data can be transferred through an API

Data is read between systems – a brilliant benefit of Evertime is the integration between multiple systems. This is done through an API (Application Programme Interface) – a safe way to transfer data between systems

  • Evertime has an SSL certificate

When you see a padlock at the top of your browser, it means the site is protected by a Secure Socket Layer certificate.  This means that your data is encrypted when it is in transit (moving between systems). We also encrpyt your data when it is at rest (in our database).

  1. Implement your updates!

Microsoft Azure is regularly implementing security updates – hackers use increasingly sophisticated methods to gain access to data, and Microsoft Azure has a large team working to protect clients against this. If Microsoft Azure implement a security patch, we’ll implement it on your behalf.

If we ask you to run the latest version of the software, it’s so that you can benefit from the enhanced security best practices which have come out, usually in response to a potential data-security threat.
