The Real Cost Of A Disconnected Tech Stack

Most recruitment agencies don’t set out to build a disconnected technology stack, it happens gradually.

A CRM is selected to manage candidates and clients; payroll software is introduced as contractor numbers grow; finance adopts its preferred accounting platform; reporting tools, compliance software, digital timesheets and document management systems are added over time to solve specific operational challenges.

The problem isn’t usually the quality of the individual systems but that they operate independently.

For many agencies, the result is a tech stack that has grown organically rather than strategically. Every system performs its own function, but the business still relies on people to move information, and you’re left wondering why your pay and bill takes so long.

The Problem Isn’t Your Software

When reviewing recruitment technology, it’s tempting to focus on the capabilities of individual platforms. Does the CRM have the right features? Is the payroll software fit for purpose? Can finance produce the reports the Board needs?

These are important questions, but they overlook the more fundamental of how well your systems work together.

Recruitment is not a collection of separate functions. It is one continuous commercial process that begins with a placement and ends when your client has paid the invoice. Every stage relies on information created earlier in that journey.

When systems don’t communicate effectively, people become the integration layer, and every manual step introduces delay, duplication and risk.

Disconnected Technology Creates Disconnected Processes

The operational impact of disconnected systems usually appears as dozens of small inefficiencies repeated.  For example, a rate change entered into one system but missed in another or a placement that has to be entered twice.

Individually, these tasks may only take a few minutes, but across volumes of placements, they consume significant operational capacity, especially when problems occur.

The initial response may be to add more (expensive) resources. However, it’s often the case that these new roles compensate for disconnected technology.

The true cost of a disconnected tech stack is rarely measured. It’s likely you can estimate software licence fees but not the commercial impact of the inefficiencies that arise from disconnected technology.

An Evolving Trend

A changing mindset towards a connected tech stack is reflected in conversations across the industry.

Recent feedback from members of The Recruitment Network (TRN) suggests agency leaders are increasingly reviewing technology spend and vendor performance, not simply to reduce costs, but to understand whether their technology is contributing to commercial performance.

The question has shifted from what technology to choose to how to make the software create a seamless workflow. When information moves automatically through the business, you can process higher placement volumes without continually increasing back-office headcount.

Connected Technology & Processes

Every successful recruitment business has developed processes that reflect the needs of their markets, clients and preferred ways of working. Technology should strengthen those processes rather than forcing people to work around system limitations.

This is why integration has become so important, and a flexible pay and bill platform like Evertime is key. Historically, pay and bill systems were viewed primarily as payroll tools, but today, we believe they serve a much broader purpose.

To us, a modern pay and bill platform should sit at the centre of the recruitment operation, connecting everything into one continuous workflow. That’s why Evertime is built with open API so it’s easy to integrate with your other systems, including your CRM and accounting software.

Bear in mind that the most expensive technology isn’t necessarily the software with the highest licence fee, but that which creates hidden operational costs every day. Improving connections is often one of the fastest ways to improve efficiency and profitability.
